How To Change Printer To Online In Windows 10

The printer on your windows 10 machine will show as offline (When it is turned on) if it can not communicate with your PC.

Some times an offline printer can also be a cause of a driver issue, hardware issue, or other issues.  In this article I will show you how to change the printer to online again.

What Does It Mean When Your Printer Is Offline?

When your printer is showing as offline it means there is some sort of issue communicating with the printer.

The most likely causes for printer being offline is

  • Issue with the printer itself
  • Someone manually turned the printer to offline
  • Issue with the printers driver
  • Previous print job got stuck
  • USB cable faulty

The first thing we need to try is to manually set the printer back to online.

How To Change The Printer to Online

To change the printer to online follow these steps

  • Click on the start menu and type in Control Panel then hit enter
  • Click on devices and printers
  • Right click on the printer you want to online and select See what’s printing
  • From the menu select printer
  • Select Use Printer Online
  • Make sure Pause Printer is not selected
  • Close down all the screens we opened
  • Try to print, if you still have issues printing continue to the next step

Remove All Pending Print Jobs

Some times a print job simply gets stuck and it needs to be removed for the other jobs to go through.

To remove all pending print jobs do the following

  • Click on the start menu and type in Control Panel then hit enter
  • Click on devices and printers
  • Right click on the printer you want to online and select See what’s printing
  • Right click on any print jobs that are listed and select cancel
  • Restart your machine
  • Try to print again

Check Printer and Cables

The next thing we need to do is check the printer itself for issues.  To do this follow these steps

  • Check the display on the printer if any errors are showing
  • Turn the printer off
  • Remove the power cable
  • Remove the USB cable completely from the printer, then put it back
  • Trace the USB cable back to your PC and unplug it and then put back
  • If your printer is wireless check the network connection on the printer
  • Reconnect the power
  • Restart your machine then try to print again
  • If still an issue unplug the USB cable from your machine and plug in to a different USB port in your PC

Check Printer Drivers

We will now check the printer drivers for issues.  To do this follow these steps

  • Click start menu and type in device manager and hit enter
  • Check under “Print Queues” that your printer is listed
  • If it is not listed and is showing as unknown, then you will need to install the drivers for the printer. Simply right click on the printer and select update driver
  • If your printer is listed under print queues right click on it and select update driver, download the latest driver and install it here
  • Restart your machine after installing a new driver
  • Try to print again

Upgrade Printer Drivers

Sometime printer drivers just need updating to start to work.  To upgrade your printer driver do the following

  • Download the latest printer driver from the internet
  • Click start menu and type in device manager and hit enter
  • Check under “Print Queues” right click on your printer and select update driver
  • Point the install to the drivers you just downloaded
  • Follow the prompts to update the driver
  • Once finished restart your machine
  • Try to print again

Remove and Re-Install The Printer

We will now uninstall the re-install the printer, This will refresh the printers configuration which should make the printer come back online.

To reinstall the printer do the following

  • Click start menu and type in device manager and hit enter
  • Check under “Print Queues” right click on your printer and select uninstall device
  • Your device will now disappear from device manager
  • Restart your machine
  • Go back in to device manager and make sure your printer is listed under “Print Queues”
  • If it is listed as unknown you will need to right click on it and select update driver

Run The Printing Troubleshoot Tool

If you are still having an issue with your printer showing as offline you can use a tool which is built-in to windows 10 that could help you to fix the issue.  To use this tool follow these steps.

  • Click start and type in Troubleshoot and hit enter
  • Click on the printer icon
  • Click Run the Troubleshooter button
  • The tool should run for a few minutes
  • Then will hopefully find a fix for you
